Corporate Services Manager
Department of Foreign Affairs and Trade
Australian Embassy, Moscow
Contract: Permanent
Full-time: 37.5 hours per week
Salary: Starting salary from 134,114 RUB per month

The Corporate
Services Manager reports to the Senior Administrative Officer (SAO) and works
closely with the Regional Services Delivery Hub in London (the Hub) to deliver
a wide range of high-quality corporate services to all staff at the Australian
Embassy, Moscow.
Key
responsibilities of the position include but are not limited to:
·        
Supervision and performance management of a small team
responsible for corporate administration and official driving duties.
·        
Manage the Embassy’s payroll processes including
calculating LES salary and other entitlements, maintaining leave and attendance
records and arranging relevant correspondence for local tax authorities.
·        
Perform various financial processing and reporting
duties in accordance with Australia’s Financial Management and Accountability
Act. 
·        
Liaise with the Hub HR team to ensure the Embassy’s recruitment,
onboarding, contracts and personnel records are managed according to agreed
service standards.
·        
Manage the Embassy’s relationship with GlavUpDK and
submit correspondence as needed.
·        
Manage and maintain correspondence with the Russian
Ministry of Foreign Affairs (MFA) on all protocol related matters including
visas, accreditation, diplomatic ID cards, licenses, vehicle purchasing,
residence permits, and import/export of personal and other embassy effects.
·        
Assist the Head of Mission with the management of
domestic staff at the official residence where required.
·        
Support the Administration team as required including
undertaking other management roles during staff absences.
Required Experience/Skills
·        
Experience in corporate services, team leadership,
performance management and general administration.
·        
Experience with interpreting and applying relevant
legislation, policy, guidelines, procedures, and instructions in a client
focused environment.
·        
High level communication, liaison and organisation
skills, including well developed written and oral language skills in English
and Russian and ability to translate between the two.
·        
Ability to plan, prioritise and complete competing
tasks and to work effectively as a committed and flexible member of a busy
team.
·        
Demonstrated ability to work under minimal direction
and with discretion.
·        
Demonstrated capacity to exercise sound judgement and
initiative.
·        
Knowledge of diplomatic facilities and the regulations
applicable to foreign missions is an advantage.
·        
Strong computer skills using Microsoft Office
applications. SAP knowledge is desirable.

or client services role with responsibilities in a range of areas, backed up by
organisational skills and the ability to manage competing priorities.

Team leadership skills with ability to set priorities
and provide coaching to drive performance and ensure the delivery of agreed
goals.
·        
Proven decision-making skills with the ability to
exercise discretion and good judgement in applying relevant legislation,
policies and guidelines, including diplomatic protocol and conditions of
service.
·        
Ability to build and maintain productive working relationships
with internal and external stakeholders, aimed at offering an efficient service
to clients at all levels.
·        
Effective verbal and written communication skills in
English and Russian and ability to tailor messages to different clients and
stakeholders.
·        
Proficiency with Microsoft Office applications such as
Outlook, Word and Excel with the ability to manage electronic records whilst
maintaining discretion and confidentiality.
